When these terms apply
These terms apply when Pillai Consulting Inc. processes personal information in Docket for a business customer under the Website and Service Terms, an order form, or another written agreement. They form part of that agreement. A signed customer-specific data-processing agreement controls if it expressly replaces these terms.
Roles and instructions
The customer controls which records and users are placed in Docket and is responsible for that information. Pillai Consulting Inc. processes it to provide, secure, maintain, support, and, where agreed, configure the service. We do not sell customer data or use Docket customer records for unrelated advertising.
Processing details
Docket may process user contact details, roles, authentication and activity records, organization settings, uploaded delivery documents, order references, workflow status, support communications, and agreed integration data. Processing continues for the subscription or written service period and the limited retention or transition period described in the agreement and Privacy Notice.
Safeguards and confidentiality
We use safeguards appropriate to the service and information, including authentication, role-based access, organization separation, encryption in transit, access-limited infrastructure, activity records, backup and recovery measures, and change controls. People authorized to access customer data are subject to confidentiality and operational-need limits. No online system can guarantee absolute security.
Service providers and transfers
We may use providers for Canadian cloud infrastructure, transactional email in the United States, payment processing, monitoring, and support. They may process only what is needed to perform their contracted function and are subject to provider agreements and access limits. Current location information is in the Privacy Notice. We remain responsible for our obligations when using these providers.
Security incidents
After confirming unauthorized access to customer personal information within our responsibility, we will notify the affected customer without undue delay, provide information reasonably available for the customer's assessment, take reasonable containment and remediation steps, and meet applicable legal reporting duties. Notice is not an admission of fault.
Requests and assistance
Taking account of the service and information available to us, we will reasonably assist with verified individual requests, privacy assessments, regulator inquiries, and incident obligations that relate to Docket processing. The customer remains responsible for deciding how to respond and for the lawfulness and accuracy of its instructions.
Return and deletion
Customers should request available exports before access ends. After termination, we delete or de-identify customer data according to the written agreement, operational transition needs, backup rotation, and legal recordkeeping requirements. Information required for security, billing, disputes, or law may be retained only for the applicable purpose and period.
Assurance information
On reasonable request and subject to confidentiality, we will provide information reasonably available to demonstrate these commitments, such as relevant policies, control descriptions, test summaries, or independent assurance reports if obtained. These terms do not state that Docket or Pillai Consulting Inc. currently holds SOC 2 certification.
