Who is responsible
Pillai Consulting Inc., Alberta, Canada, operates this website and provides Docket. The Privacy Officer, Pillai Consulting Inc. is responsible for the company's privacy practices and may be contacted using the support address below.
Information we collect
We may collect contact and company details, service interests, inquiry messages, Docket administrator and user information, organization and workspace settings, enabled-seat information, billing records, support communications, and the operational documents or records customers choose to process through Docket. We also receive security, authentication, device, browser, network, usage, and activity-log information needed to operate and protect the services.
Why we use information
We use information to respond to inquiries, assess fit, provide consulting services, create and administer Docket accounts, process and reconcile subscriptions, deliver requested workflows, provide support, prevent abuse, secure the service, maintain business and transaction records, meet legal obligations, and establish, exercise, or defend legal rights. We do not sell personal information.
Docket customer records
Business customers decide what authorized records their users submit to Docket and are responsible for lawful collection and instructions. Pillai Consulting Inc. uses those records to provide, secure, support, and troubleshoot the contracted product. Access is limited according to assigned roles and operational need.
Accounts and authentication
Docket uses account identifiers, contact details, authentication credentials in protected form, organization membership, assigned roles, and security logs to control access. Customers are responsible for keeping user details current and promptly removing access that is no longer authorized.
Payments and Stripe
Stripe handles payment-method and card details used for online checkout. Pillai Consulting Inc. does not store full card numbers in this website or Docket. We receive transaction, customer, subscription, tax, payment-status, and limited payment-method information from Stripe to administer billing, support customers, prevent fraud, and maintain financial records. Stripe processes information under its own privacy terms.
Service providers and locations
The website application and encrypted inquiry database operate in Microsoft Azure in Canada. Docket's primary application records are also configured in Microsoft Azure in Canada but remain in a separate application and data environment. Microsoft processes business email and support communications under the company's Microsoft 365 service. GoDaddy provides domain registration and DNS services. Stripe processes payment and billing information in Canada, the United States, and the locations identified in its privacy terms. These providers are authorized to use information only for the hosting, network, security, email, payment, support, and related services we request. Different lawful-access rules may apply outside Canada. The Privacy Officer can provide the current provider information relevant to a request.
Contact and marketing choices
Inquiry and customer details are used for direct follow-up about the request, service, account, or resulting business relationship. We do not use them for unrelated promotional email unless separate consent is collected. You may withdraw marketing consent at any time using the support address below, without affecting required service or transaction communications.
Website inquiry controls
General inquiry consent v1 has been effective since August 23, 2026. Submitting the general contact form creates an inquiry only; it does not create an engagement, account, subscription, or payment. We record the accepted consent version and time. To limit abuse, we create an hourly rate-limit key from the requesting network address; the raw address is not stored with the inquiry.
Docket inquiry controls
Docket inquiry consent v2 has been effective since August 18, 2026. Submitting the Docket form creates an inquiry only, not an account or payment. The same consent recording and abuse-prevention controls apply.
Retention
Inquiry records that do not become a customer relationship are deleted 12 months after submission unless a legal hold, security need, or recordkeeping obligation applies. Rate-limit keys older than two days are deleted. The control runs after valid submissions, when an authorized reviewer opens the private inquiry queue, and on demand. A two-year audit log records only when the control ran, why it ran, and deletion counts—not inquiry content. Customer, support, billing, accounting, tax, security, and transaction records follow their applicable contractual, operational, and legal periods. Deleted data may remain temporarily in protected backups until they rotate.
Safeguards
We use reasonable administrative and technical safeguards based on the sensitivity of the information, including access controls, organization separation, authentication, logging, encrypted network connections, encryption of website inquiry content before database storage, protected backups, and service-provider controls. No online system is risk-free, and customers should contact support promptly if they suspect unauthorized account or data access.
Your choices
You may request access to or correction of personal information, ask about our processing or service providers, withdraw optional consent, or request deletion where applicable by contacting the Privacy Officer. We may need to verify identity and may retain information where required by law or reasonably needed for security, transactions, or legal rights.
